Privacy Policy

ERPMantra is a product and service operated by SKK Developers Global IT Services.

This Policy explains how SKK Developers Global IT Services ("SKK Developers", "we", "us" or "our") handles personal data in connection with ERPMantra websites, ERP services, support and the optional Official WhatsApp service.

1. Our role and scope

For website enquiries, commercial contacts, billing administration and our own service operations, SKK Developers generally determines why and how personal data is used. For student, parent, guardian, employee and other institutional records entered by a customer, the customer institution generally determines the purpose and means of processing, while we process that data to provide the contracted service. The applicable agreement and law determine the parties' precise roles.

2. Information we may process

• Enquiry and account data: name, organisation, role, email address, phone number, address, account identifiers and communications.
• Institutional ERP data: information that an authorised customer enters or imports about students, parents, guardians, staff, academics, attendance, fees, transport, enquiries and related administration.
• Official WhatsApp data: sender and recipient phone numbers, WhatsApp identifiers, approved template references, message content supplied by authorised users, delivery/read/failure status, timestamps, webhook events, consent or opt-out records and suppression records.
• Commercial data: plan, add-on, order, invoice and payment-status records. We do not ask you to send payment-card credentials through support channels.
• Technical and security data: IP address, browser/device information, login and activity records, errors, diagnostics and audit trails.

3. How information is collected

We receive information directly from website visitors and authorised users; from customer institutions and their authorised representatives; through imports and integrations configured by a customer; automatically from the service and its security logs; and from service providers such as Meta/WhatsApp when an integration is enabled.

4. Why we use information

• to provide, secure, administer, troubleshoot and improve the contracted ERP and support services;
• to authenticate users, enforce access controls and maintain auditability;
• to send customer-authorised Official WhatsApp messages and process delivery events;
• to manage enquiries, orders, add-ons, invoices and support;
• to prevent misuse, fraud and security incidents; and
• to meet contractual and legal obligations and establish or defend legal claims.

We rely on the applicable contractual necessity, consent, legitimate use, legal obligation or other lawful ground available under applicable law. Customer institutions are responsible for establishing the authority or consent needed for the data and communications they direct us to process.

5. Children and institution-controlled data

ERPMantra may process student data, including data relating to children, only on the instructions of an authorised institution. The institution is responsible for providing required notices, obtaining parent or guardian consent where required, limiting access and using the service for legitimate educational or administrative purposes. A parent, guardian, student or staff member seeking access, correction or deletion of institution-controlled records should normally contact that institution first.

6. Official WhatsApp service

The Official WhatsApp service is an optional, separately activated add-on. The customer normally owns and controls its WhatsApp Business Account, business phone number, templates and business identity. Meta Platforms and WhatsApp independently process information under their own terms and policies, and may process information outside India. Enabling this add-on does not make Meta or WhatsApp an endorser of ERPMantra.

Customers must communicate only with recipients for whom they have a valid lawful basis and any consent required by law or WhatsApp policy, honour opt-outs promptly and keep evidence of consent. More information is available in our Official WhatsApp Service Terms.

7. Sharing and processors

We may share limited information with hosting, infrastructure, email, support, security, payment-administration and professional advisers where reasonably required. For the Official WhatsApp add-on, information is transmitted to Meta/WhatsApp and any approved technical provider needed to operate the integration. We may also disclose information when required by law, to protect rights or safety, or as part of a lawful business reorganisation. We do not sell institution-controlled student data.

8. Storage, international processing and retention

ERPMantra application data is ordinarily hosted in India unless an applicable order form states otherwise. Third-party services, including Meta/WhatsApp, may store or process information in other countries under their own arrangements.

We retain data for the contract term and for as long as reasonably required for service delivery, security, dispute resolution, audit, backup and legal obligations. Unless a different order form or lawful requirement applies, rendered WhatsApp message content may be retained for up to 90 days for operational support, while delivery metadata, consent, suppression and audit records may be retained for at least 12 months or longer where required to demonstrate compliance. Backup copies rotate according to operational schedules and may not be removed immediately.

9. Security

We use reasonable administrative, technical and organisational safeguards appropriate to the service, such as access controls, encrypted transport, logging, backups and security monitoring. No internet or storage system can be guaranteed completely secure. Customers must protect their credentials, configure user permissions correctly and notify us promptly of suspected misuse.

10. Cookies and local storage

Our public website may use browser storage or essential cookies to remember choices such as language or cookie preference and to maintain service sessions. If non-essential analytics or advertising technology is introduced, we will update the notice and provide choices required by applicable law.

11. Your choices and requests

Subject to applicable law and verification, an individual may request access, correction, updating or erasure of personal data; withdraw consent where processing depends on consent; or raise a grievance. Some information may need to be retained for legal, security, contractual or audit purposes. Instructions are provided on our Data Deletion page.

12. Changes to this Policy

We may update this Policy when services, laws or processing practices change. The current version will be posted at this URL with its effective date. Material changes may also be communicated through an appropriate service channel.
